Swepio's inbound allocations function allows you to manage the physical product locations in your warehouse. After pressing the 'Create' button in the Bills of lading tool to create an inbound allocation, you can confirm the location of products in your warehouse:

  1. Navigate to 'Warehouse' and then 'Inbound allocations' where you'll find all bill of ladings with their statuses
  2. Click on the bill of lading number you want to edit (it must be marked 'Ready for search')
  3. Click the 'Start search' button
  4. Confirm or update location of each product, enter their quantity
  5. Click the 'Confirm allocation' button

 After the search, products that could not find a place are presented at the top of all products, separating them into a separate group/place Not Found. The situation that the place could not be found can be due to several cases:

  1. The product does not have measurements, then the search system will offer to add them accordingly after the search
  2. According to the measurements of the product and the signs of the warehouse distribution, it was not possible to find a place for the product

 When we have goods that could not find a place in the inbound document, the system will offer several options:

  1. Update location with the exact slot we want to place the item(s) in
  2. Ask the system to suggest a list of possible places to place the quantity
  3. In BOTH cases, if the quantity of the product is greater than 1 pcs. we can distribute it over several places, both by choosing a place offer option and specifying the exact place

Swepio has five status stages for inbound allocations:

Ready for search - shows that the bill of lading has been confirmed
Search in progress - this status indicates that the system is looking for product locations
Ready for confirmation - indicates that the locations have been discovered and are awaiting your approval
Confirming - this status is displayed when you are confirming warehouse locations
Confirmed - indicates that all product locations have been confirmed

When the product search has not yet started and the product does not have measurements that are necessary to find a place, then buttons are provided for such products, which can be clicked to add measurement information, so that space for those products can be found in the warehouse. If the search is started without specifying measurements, then the system will not search for such products.

Bulk actions

Swepio allows you to edit multiple records at once. Follow the steps:

  1. Go to 'Inbound allocations'
  2. Tick the checkboxes next to the records you want to manage in the list
  3. Select the appropriate action button:
    • Delete
  4. Confirm your action
