Persons
Each company may have multiple people who can place orders in your shop on its behalf. Follow these steps to create a personal account:
- Go to 'Customers', then 'Persons'
- Click the 'Create' button
- Fill in the required fields
- Click the '+ Assign new company'
- Enter the company's name or code in the search bar to find it, or select a company from the list
- Click the 'Assign' button
You can also create a new company while creating a new person by clicking the '+ Create new company' button in the company assigning window.
After you've created the person account, you can always edit, add more information, change its status or delete it:
- Go to 'Persons'
- Click on the person you want to edit
- Edit the information, assign new company, change its status and then click the 'Save' or 'Delete' button to completely remove the person
For what purpose two companies can be assigned?
- In the webshop, the person can then choose one or another company. OR staff user logged in as person can choose one or another company
- After selecting a company, the prices of that company are displayed in the person or staff web shop
- When placing an order, the details of that company are used, invoices are written to the respective company, and its credit limits are used
Person statuses & invitations
- When a person is created, we check the state and if:
- active, then after creation, an invitation is sent to users and they must come up with a password after clicking on the link
- blocked, then after creation the invitation is not sent and the user cannot log in
- if a blocked was created and then when updating we change the state to active:
- If the invitation has not been sent yet, then the same invitation as specified in 1.a. is sent
- If the invitation has already been sent, then nothing is done (no invitation is sent)
This logic can be used when you want to make orders for customers, but not give them access to the system.
Bulk actions
Swepio allows you to edit multiple records at once. Follow the steps:
- Go to 'Persons'
- Tick the checkboxes next to the records you want to manage in the list
- Select the appropriate action button:
- Unblock
- Block
- Delete
- Confirm your action
